The data that we collate is available to anyone with a legitimate interest in this information. We hold extensive datasets on protected species, recent bird records, and the flora and location of statutory and non-statutory wildlife sites in Cambridgeshire and Peterborough. However, our work is continuous, and we are always increasing the number of records we have, our coverage of the region and the range of taxa covered by our datasets. At the request of recorders a small proportion of our records remain confidential or are released at a degraded resolution; e.g. tetrads (2kmx2km Square) may be given rather than six figure grid references. In cases where we release data at a degraded resolution the original recorder may be able to provide the detailed records on request, and we will provide their contact details in the data report that we send.  We do not necessarily have data at 6-figure grid reference resolution - often it is only supplied at 1km or tetrad, so we are therefore only able to supply at the best resolution available to us.

Before we can process a data request the enquirer must first accept our terms and conditions, which includes a fee to cover the search time & administrative costs of producing the report. Note that both the size of the area to be searched and the number of criteria to be searched for will have a bearing on the time taken to produce a report, and therefore the fee.

If you would like to make a request for data please fill in our Data Search Request Form (and include a grid reference or map of the search area), and post or fax it to us.  Please sign it by hand as we can't accept forms that have not been properly signed.

Summary of steps to take when making a request:

1. Check our page on the data we currently have available

2. Download and read our terms and conditions

3. Download and carefully fill in our Data Search Request Form, and sign it by hand

4. Post or fax the form to us with a map if appropriate

5. If you require a report urgently and would like to use our prioritised service you may send us the form by email to speed up the process, however we must have received a signed Data Search Request Form before we release the data.

Following these steps will make the process of requesting data much more efficient, and will help us to ensure that we carry out data searches in exactly the way you have requested them.

Our records cover a wide geographical area within Cambridgeshire & Peterborough, but we do not have blanket coverage. Also note that absence of a species from our records for a particular geographical location does not mean that it is not present there - just that no-one has told us about it.

Our data release policy is that the name and details of the recorder are not released under any circumstances with the species data for a location.
